The problem was in the sent-items folder

Family-law work happens in email. The reply to opposing counsel at 11 PM, the client question answered between hearings, the attachment reviewed before a deposition. The work is real and billable, and a surprising amount of it never reaches a time sheet, because nobody stops to run a timer for a six-minute reply.

Reconstructing that time at month end from a sent-items folder is slow and inaccurate. So Jonathan built a pipeline to do the first pass: read the mailbox, find the messages that look like legal work, match each one to a client and matter using the evidence in the thread, and draft a narrative and a duration for a person to review. Because the messages are privileged, the analysis had to run on his own machine, with no cloud model in the loop.

That pipeline is the basis of IntelliBill’s guided Mac pilot. The prepared release includes a signed app and engine, with local database and model services configured separately during setup. It reads agreed Microsoft 365 email through compatible Legacy Outlook for Mac automation and produces reviewed CSV for a workflow confirmed with the firm. Access is by request, subject to compatibility and release handoff checks.

What we believe

• Evidence, not guesses. Every suggestion shows the participants, subject, timestamp and thread context it was drawn from, with a confidence signal. If the match is uncertain, it says so.
• Review is mandatory. The pilot exports reviewed entries. The firm checks their accuracy and suitability before using them in billing.
• Local where it matters. Classification, matching and drafting run on your Mac. When the local model is unavailable the scan stops. There is no fallback to a hosted AI service.
• Describe the actual pilot. The readiness guide, data-flow page, and CSV sample explain the prepared release and the checks before working-data access.

The company

IntelliBill, LLC is based in Chicago. Applications are open for a guided Founding Firm Pilot: 30 days at no charge for one attorney and one Microsoft 365 mailbox, starting after setup. Activation is pending a supported mailbox connector and release testing. We confirm compatibility, handoff checks, a named support contact, and the scope in writing before working data is connected. No automatic billing applies; paid continuation requires a separate written agreement.

We plan to measure approved hours, additional hours after reconciliation with existing time, corrections, and review effort. Any published pilot results will need those measured outcomes and the firm’s permission. The public tour and CSV samples contain fictional data.
